Getting Started

How do I create my Rubli account?
Once your organisation has subscribed to Rubli, your account administrator will invite you to join the platform. You will receive an email invitation allowing you to set your password and access the system. If you have not received an invitation, please check your spam folder or ask your administrator to resend the invitation.
What browsers does Rubli support?
Rubli works on all modern browsers, including Google Chrome, Microsoft Edge, Mozilla Firefox, and Safari. For the best experience, ensure your browser is updated to the latest version.

Login & Access

Can I log in using Single Sign-On (SSO)?
Yes. Rubli supports Single Sign-On (SSO) through Microsoft Azure Active Directory. If SSO has been enabled for your organisation, users can log in using their corporate credentials without creating a separate password. Contact your system administrator or the Rubli support team to enable SSO for your organisation.
Does Rubli support two-factor authentication (2FA)?
Yes. Rubli supports additional authentication controls to enhance account security. If enabled by your organisation, users may be required to complete a second authentication step when logging in.
Why is my account locked?
Accounts may be temporarily locked after multiple unsuccessful login attempts to protect against unauthorised access. You can reset your password using the "Forgot Password" option, or contact your administrator if the issue persists.
I cannot log in to my account. What should I do?
First, check that you are using the correct email address. If you have forgotten your password, select Forgot Password on the login screen. If the issue persists, contact your organisation's administrator or the Rubli support team.
How do I reset my password?
Click Forgot Password on the login page and enter your registered email address. A password reset link will be sent to your inbox. For security reasons, the reset link expires after 24 hours.
How do I update my personal details?
Navigate to Account Settings in the sidebar menu, where you can update your name and contact details. To change your login email address, please contact the Rubli support team for verification.
How do I add or remove users?
Account administrators can manage users from the Users tab in the left navigation menu. Administrators can invite new users, assign user roles and permissions, and deactivate users who no longer require access.
What user roles are available?
Rubli provides a flexible permission structure that allows administrators to control access to specific areas of the platform. Permissions can include read-only access to leases, full lease management rights, approval of lease changes, report creation, user management, and the ability to manage company settings such as cost centres, asset classes and FX rates. Access can also be restricted to specific lease groups where required.
Can I restrict access to specific leases?
Yes. Administrators can control user access using permission groups, allowing access to be restricted to specific entities, cost centres or lease portfolios.

Integrations

What accounting systems does Rubli integrate with?
Rubli supports integrations with several accounting and ERP systems, including Xero, Sage, QuickBooks, and NetSuite. Journal entry exports are also available for systems that do not support direct integration.
Is there an API available?
Yes. API access is available for enterprise customers. The API allows organisations to integrate Rubli with internal systems and retrieve lease calculations, reports and lease data programmatically.

Security & Data Protection

Is my data secure?
Yes. Rubli implements multiple layers of security, including encryption of data in transit using HTTPS, secure password hashing and authentication, optional two-factor authentication, and application-level protections including XSS, CSRF and SQL injection protection. Rubli infrastructure is hosted on Amazon Web Services (AWS) within the European Union region.
Where is my data hosted?
Rubli is hosted on secure cloud infrastructure operated by Heroku and Amazon Web Services, with servers located in the European Union (Ireland) and backups stored in Frankfurt.
How does Rubli handle personal data?
For data protection purposes, the client organisation acts as the Data Controller and Rubli acts as the Data Processor, processing data only to provide the services requested by the client. Rubli complies with applicable data protection regulations, including GDPR and other relevant data protection laws.
What happens in the event of a data breach?
If a security incident occurs, Rubli will notify affected clients without undue delay and within 48 hours of becoming aware of the breach. Appropriate steps will be taken to investigate and mitigate the impact.

Data & System Controls

Does Rubli keep an audit trail of changes?
Yes. Rubli maintains a full audit trail of lease changes. This allows users and auditors to track who made changes, when they were made, and what was modified.
Can prior periods be locked?
Yes. Period locking can be used to prevent changes to previously reported periods. This helps maintain the integrity of financial reporting and audit sign-off.
Can Rubli handle multiple currencies?
Yes. Rubli supports multi-currency lease portfolios, allowing leases to be recorded in one currency while reports can be produced in another.

Onboarding & Support

Can Rubli migrate our existing lease data?
Yes. Rubli provides structured onboarding, which includes migration of existing lease data from spreadsheets or other systems. The migration team works with you to import leases, reconcile balances and configure reports before go-live.
Does Rubli provide onboarding support?
Yes. New customers receive guided onboarding, which typically includes migration of existing lease data, system configuration, report and journal setup, and user training. Implementation timelines depend on the quality and availability of the existing lease data.

What are your support hours?
Support is available Monday to Friday, 9:00 AM to 5:30 PM (GMT). For urgent matters outside these hours, please email support, and the team will respond on the next business day.
Can I request a new feature?
Yes. We regularly review customer feature requests. You can send suggestions to support@rubli.co or discuss them with your account manager.

General Lease Management

Can I upload supporting lease documents?
Yes. Rubli allows users to upload lease documents and related files directly to each lease record. This allows finance teams to keep contracts and supporting documentation stored alongside the lease data.
Can Rubli handle complex lease structures?
Yes. Rubli supports a wide range of lease structures, including CPI-linked rent increases, variable payment structures, lease modifications and remeasurements, early terminations, renewal and purchase options, and sale and leaseback transactions.
Can I generate journal entries for my accounting system?
Yes. Rubli automatically generates lease accounting journals, which can be exported to Excel or CSV and uploaded into your accounting or ERP system.
Can Rubli produce disclosure reports for audits?
Yes. Rubli generates disclosure-ready reports aligned with lease accounting standards, including IFRS 16, ASC 842, and FRS 102. These reports can be exported for auditors or included in financial reporting packs.
Can reports be customised?
Yes. Rubli allows users to create custom reports and filter results by dimensions such as cost centre, business unit, asset class, lease identifier, and location.
Can I export all of my lease data?
Yes. Lease data, reports and journal entries can be exported from Rubli at any time. If required, full data exports can also be provided.
